Scope

This Privacy Policy explains how Sanctus Solutions LLC handles personal information and company workspace data when you use FrameWatch.

FrameWatch is a product owned and operated by Sanctus Solutions LLC.

FrameWatch is designed for company-scoped construction materials tracking, inventory workflows, waste logging, donation coordination, pickup visibility, and related operational reporting.

This policy applies to company users, workspace administrators, invited team members, NGO applicants, NGO users, and other authorized users who access FrameWatch.

Information We Collect

We collect information you provide directly when you create an account, join a company workspace, update company settings, or contact support.

  • Account details such as email address, username, display name, and authentication status.
  • Company and NGO details such as organization name, address, phone number, email address, contact details, approval status, and operational configuration entered in the app.
  • Operational records such as materials, inventory logs, waste logs, reusable scrap records, donation listings, reservation history, pickup location details, job-related entries, photos, QR or label data, and settings stored within your workspace.
  • Imported or uploaded information such as invoice text, parsed material rows, building photos, captions, and files or images submitted through supported workflows.
  • Technical and security information such as request metadata, authentication events, rate-limit signals, and diagnostic details needed to operate and protect the service.
  • Communications and support details you send to us when requesting help or reporting an issue.

How We Use Information

We use collected information to provide and maintain the service, authenticate users, keep company workspaces isolated, respond to support requests, and improve reliability and security.

We use workspace and listing information to calculate inventory availability, display donation listings, coordinate reservations, generate QR codes and labels, support location-based pickup workflows, and provide operational views to authorized users.

We may also use account and operational information to troubleshoot failures, investigate misuse, enforce product limits and security controls, and communicate material service notices.

Company Workspace Data

FrameWatch is structured around company-scoped workspaces. Data entered into a workspace is intended to remain accessible only to authorized users associated with that company.

Workspace administrators are responsible for ensuring that the people invited into their company workspace are authorized to access that information.

When a company lists materials, waste, or reusable scrap for donation, selected listing details may become visible to approved NGO users according to the donation workflow and access controls in the product.

Donation Listings and Pickup Information

Donation listings may include material names, quantities, condition notes, listing status, donor organization name, donor contact details, pickup address, and related reservation or completion information.

Approved NGO users may see information needed to evaluate and coordinate pickup of available listings. Donor companies should avoid entering sensitive information in public-facing notes or listing fields unless it is necessary for pickup coordination.

Location, Maps, and Third-Party Services

FrameWatch may use addresses, coordinates, or pickup-site information to display maps, search nearby listings, and support location-based workflows.

We may rely on third-party service providers for hosting, authentication, email delivery, file storage, map display, address lookup, payments where applicable, and related infrastructure. Those providers process information on our behalf or as otherwise described by their own terms and policies.

Sharing and Disclosure

We do not sell personal information. We may share information with service providers that help us operate authentication, hosting, storage, email delivery, maps, analytics, security, payment processing where applicable, and related infrastructure.

We may share workspace information with authorized users in your company, approved NGO users participating in donation workflows, or other users you intentionally invite or grant access to through the service.

We may disclose information when reasonably necessary to comply with law, enforce our Terms of Use, protect the security of the service, or prevent fraud or abuse.

Retention

We retain account information and company workspace data for as long as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements.

Retention periods may vary based on the type of information, support history, and whether an account or workspace remains active.

Security

We use reasonable administrative, technical, and organizational safeguards intended to protect information stored in FrameWatch.

No system is completely secure, and we cannot guarantee that unauthorized access, disclosure, alteration, or destruction will never occur.

Your Choices

You may request updates to your account information through the product settings available to you or through your company administrator where applicable.

Company administrators may manage workspace members, company profile information, donation visibility, and certain workspace records through the product features available to them.

Children's Privacy

FrameWatch is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the last updated date on this page and may provide additional notice when changes are material.
